JOB OVERVIEW.

Reporting to the Country Manager, the role will be assisting the Chief Accountant in accomplishing tasks as per schedule in line with the strategic goals. The Accounts assistant will be key in delivering timely updates and ensuring the finance department runs in a

timely manner on matters concerning reports, audits and any other tasks in line with the company’s policies and procedures.

 

DUTIES AND RESPONSIBILITIES.

COUNTER SALES & CUSTOMER SERVICE.

a) Ensure compliance with all Customer Service Standards.

b) Raise cash sales to walk-in customers, receiving cash and issuing receipts for credit

customers/payments on the ERP(Navision).

c) Raise invoices for credit sales in line with policy

d) Ensure prompt action regarding warranty products in line with the company warranty policy and

procedures.

e) Verification of all non-cash payments i.e. cheques, bankers’ cheques, EFTs and/or any form of money

transfers, prior to releasing any goods.

CASH AND BANKING.

a) Carry out/do daily bank reconciliations ensuring that cash received & banked tallies with the daily cash

sale listing.

b) Verification of all bankers’ cheques with the issuing bank prior to accepting the said cheques and

supplying the goods.

c) Carry out a daily reconciliation of cash sales & credit sales against banking. Any discrepancies must be

reported to the Country Manager immediately.

ADMINISTRATION.

a) Ensure all statutory payments are remitted by the due dates

b) Ensure all customs and clearing documents for imports/exports are done and/or received on time to

eliminate any delays in the process.

c) Manage petty cash as per the petty cash policy

d) Daily/weekly/monthly/quarterly auditing of documents and assets as per the required schedules.

e) Ensure that suppliers bill in a timely manner and Auditing supplier invoices to ensure they match LPO’s,

Contracts or pre-agreed prices.

f) Ensure that the financial policies and accounting systems are well maintained to control depot activity,

i.e. sales proceeds (cash & cheques) banked daily; credit control policies are strictly observed, stock

movement etc.

g) Monitor processing of all warranty products, ensuring proper documentation is used as per policy

h) Management of the office access being a custodian of access tools.

STOCKS MANAGEMENT.

a) Participate in the daily, weekly, & monthly physical stock take of all stock items is done and the same agreed to the book/system stock position. Any variances must be reported to the Country Manager in writing with a copy to the Chief Accountant.

 

CREDIT CONTROL.

a) Ensure compliance with Company credit control policies as regards opening customer accounts, raising invoices and credit notes, Daily receipting of payment from customers.

b) Periodic Customer visit.

c) Vetting new customers before approval of account opening.

d) Updating the Country Manager on debt position as per the set schedules

e) Periodic debt confirmation through calls/emails/visits.

f) Periodic review and confirmation of credit customer details maintained in the ERP system.

OTHER RESPONSIBILITIES.

a) Sending documents as per schedule i.e. cash sales, invoices, credit notes, warranty invoices, cash sale banking, debtors receipt banking, petty cash, suppliers’ invoices etc.

b) Manage and maintain an up-to-date customer/clients’ database with all relevant information e.g. Telephone No, physical location, contact details etc.

c) Have an organized filing system.

d) Report unwarranted behaviors which may cause damage/losses to the company

e) Maintain high standards of self and work discipline, co-ordinate your activities well with both your superior and workmates, while observing good interpersonal relationships.

 

REQUIREMENTS AND QUALIFICATIONS.

a) Bachelor of Commerce – Finance or its equivalent

b) At least CPA/ACCA Level 2 or Full CPA/ACCA qualification.

c) At least 2 years’ experience in a busy accounting environment

d) High attention to details

e) Demonstrated ability to solve problems

f) Communication and interpersonal skills

g) Customer service skills.
